All In One Printers Are The Swiss Army Knife Of The Office

by Michael Nelson

Offices are run off the many devices that are purchased for business use. These can range from printers to fax machines to document scanners. All of these items though are found in all in one printers which combine all of these features in one unit.

Instead of having multiple devices several features can be built into a single device and even shared among many employees. This can save space and costs compared to having the individual machines spread out through an office. The single machine in addition allows for easier management and maintenance during the work year. For low to medium monthly use consolidating your office equipment into a multifunction unit may be the best choice for your future needs.

These machines can be divided into inkjet and laser printing technologies for overall printing methods. Lasers can be divided into black and white and color version of the same technology. These multi function devices can be stand alone, networked or both depending on the needs of the company.

For photo quality graphic work color inkjet printers are the best technology for this task. Using an array of nozzles to generate tiny bubbles of colored ink these printers can generate photographic quality images. Make sure that you stock up on replacement cartridges though especially if you are doing a large amount of printing.

Black and white lasers as compared to inkjet is the preferred option for printing text and documents. Being able to print several pages a minute along with clear text has made this the option for businesses that produce large amounts of printed material. Simple black and white images such as charts or graphs are also handled efficiently by this fusing technology.

Color lasers are a newer version of the older laser process that uses multiple colored toner cartridges to generate color images. The speed of these machines in printing is somewhere between inkjet and black and white laser technology. Color images are close to inkjet in their overall quality especially with simpler images. As the prices of these units decrease more companies are making this the tool of choice.

When you decide on which printing technology another point you need to decide on the choice of stand alone or network printer. Stand alone printers use a USB or serial cable to connect to a single computer and are the choice for one computer businesses. A network printer uses a network cable to connect the printer to multiple machines in a business with many employees. Some mid to high end printers allow you to choose either option if needed allowing for future growth.

Using all in one printers allows a business to have multiple tools while saving resources. No matter what the choice in printing technology and connectivity is picked these units make sense. Efficiency, cost saving and utility in a single versatile piece of equipment. Understand the printing and document management needs of the company and then pick the best unit for your organization.
