The Role Of PRN Software

by Carmella Watts

PRN software can have the role of using script files that contains instructions for a printing device. Mostly, the system creates documents automatically, in order to convert word processor files into code. There are many benefits for PRN from a practical point of view. For making the scripts, programming languages are used.

The instructions contained in a file usually provide details to a device related to the content of pages, the type and size of paper to use and other things that a printer can understand and interpret. Most of the time, people do not have to deal with the format directly, as it is transparent. You just give the command from a word processor and the pages are made.

In some cases, you only need the file for printing papers, without opening the documents that were initially made using a word processor. PRN can be very useful when you own a print shop for offering paperwork to clients, because you may only need the files that contain the commands for finishing projects. But, by using specialized software, you can make your work easier.

People can use two primary formats: PCL and PostScript. There are also secondary types that can function better if you use inkjet printers. The first option was invented by Adobe in 1984 and refers to a page description language. The best application of the system can be for high volume devices and the programming language has many capabilities. File conversion to PDF is not hard to perform and visualization could be made with GhostScript.

PCL was developed in 1984 by Hewlett Packard and means Printer Command Language. The format was simpler than PostScript, had less functions, but its performance was better. Later, the platform was improved to match the capabilities of the one from Adobe. Both languages became enough for any office requirement. PRN software can easily recognize the two formats today.

PRN uses multiple formats today and it can work on the majority of printer types, such as classical dot matrix platforms and low volume inkjet systems. For creating a file, you could use the printing dialog that appears when you use the options of a word processor. If you do not have the functionality in your application, you could get software that supports it. In general, the PRN format is made by the driver of your printer, when you try to put the work on paper.

At the creation of a PRN file, before data is printed into paper, a text file is made that includes the code of the work. The documents can remain on the computer for later usage. If the project is opened in an editor, the things that are visible are the text and some junk characters, which the used program is usually not able to read. A complete view can be obtained with specialized software.

PRN software can be useful in many cases. If your printer is damaged, you can save the file that contains the things you want to put on paper, for later attempts. The two main formats of PRN, PostScript and PCL are flexible and compatible with most printers. Specialized software can make things easier, as it can allow you to view the script and convert it into other formats.
