Address Book Software With Built In Verification System

by Celina Heath

Verifying information with specialized address book software can be an important marketing process for businesses that deal with bulk mailings and other important types of marketing mail. This software compares the information entered into it with what the postal service has on official record. This verification is helpful in locating mistakes in things like street names, misspelled towns, incorrect states and incorrect zip codes.

As time passes, a company's on file information could just become out of date, often as a result of the postal service making changes. Components, like zip codes, can be changed if a specific area grows rapidly and one zip code is not able to efficiently deal with mail processing for the area. A few additional zip codes can be added to that area, just to reduce the work involved with processing and delivering mail to the residents there.

Wrong addresses can also end up in a database because of unreadable handwriting. Many mailing lists are compiled through information given on registration forms of information cards that were filled in by hand. Many people have difficult to read handwriting. If the person responsible for data entry encounters problems reading some of that information, the information could be misinterpreted and entered incorrectly by mistake.

Some businesses use software that scans, interprets and then enters information from forms for them. While this is a sophisticated tool for business, it's not perfect. Often a best guess is made by the program while trying to piece together a usable address and it may not always be right. This occurs frequently when the program needs to scan and interpret handwritten information.

Basic human error can also result in incorrect entries. I mistyped keystroke or a guess about the spelling of something can both generate entries that are completely wrong. These types of mistakes can lead to returned mail or misdeliveries. In these cases, the postage spent is completely wasted since it never reached its destination.

Basically, there are a number of different ways for a wrong address to find its way into a system. By using software to verify this information through the postal service, the problem can be almost completely eliminated. The number of returned or wrongfully delivered mailings with verification is greatly reduced in comparison to the number when verification is not involved.

By increasing the number of mailings that are being correctly delivered, a higher rate of return is generated. A larger number of intended marketing targets will translate to a higher volume of sales. Instead of postage prices being wasted on mailings that end up in the wrong person's hands, the mailings actually make their way to where they were intended to.

Verifying addresses with special address book software can enable a company to verify every piece of information on their mailing list, so it becomes a vital process. The number of mistakes being made are reduced and less money is spent on postage for no reason. The volume of correctly targeted consumers is increased, so sales are increased in the process, creating an invaluable marketing strategy.
