Your Business Needs Email Archiving

Not many companies put email archiving at the top of their list of priorities. This is largely because it is not part of the day-to-day tasks that actually contribute to them making a profit. However, email archiving can prove invaluable in some circumstances. For example, if you have a dispute you can use information from your email archive to prove your case. Properly achieved emails mean that you always have vital information to hand.

Being able to access emails you have just sent when your system goes down is just as important as being able to get your hands on emails you sent several months ago. Should you system go down you need to pull up emails for work that is currently in progress even more than you need emails for work you have already completed.

You have to keep your ideas within the four walls of your business, particularly when you are developing those ideas into products or services. You will be surprised at how much information that is contained in your company's emails needs to be kept private. You need to be able to avoid leaks of sensitive documents to your competitors.

Leaks of sensitive information usually happen when employees take documents outside of the company. Sometimes it is done deliberately for either gain or because they are disgruntled. However, most of the time, vital data is lost by companies for innocent reasons. Many employees take work home with them and if they do this in the wrong format it can easily be lost. You have to put safeguards in place to protect your intellectual property. Keeping your emails secure is a basic foundation of this.

A lot of firms forget to put their email archiving systems behind a firewall, so lose them to viruses. These firewalls can also ensure that your employees do not waste time on social media sites during the workday.

Keeping all information about business transactions in an archivable format is important. Email is perfect it is automatically dated and time stamped, and is 100% achievable. However, any communication carried out via social media sites like Facebook cannot be reliably archived. You do not want important communication between you, your staff and your customers to be carried out in this forum.

Social forums and sites are not private, so again stopping people accessing certain sites using a firewall makes sense. You need to limit the way you use social media sites for your business. Using them to launch and promote products or for SEO is fine, but that should be all you use them for.
